Notion review: databases, views and docs for project work

Notion combines documents and databases in one workspace, and teams build project trackers out of those databases. This guide covers what that looks like and where the plan limits sit.

What Notion is

Notion is a workspace made of pages. A page can hold text, to-do checkboxes, images and other blocks, or it can hold a database. Project management in Notion is built from those databases: a projects database, a tasks database, and the views you place on top of them.

That makes Notion different from a dedicated project tool. You get a lot of freedom in how you set things up, and someone on your team has to do that setup. Notion's Projects page points to a template gallery if you would rather start from an existing structure.

How project work is organized

Each row in a Notion database is its own page, with properties such as status, assignee and due date. Notion's help center lists these database layouts:

  • Table, Board, List and Gallery, for working through items in rows, Kanban columns, a minimal list or cards.
  • Calendar, which places items by their Date property, and Timeline, which plots milestones so you can see when they happen and how long they take.
  • Chart, which shows database items as a bar, line or donut chart.

Each view keeps its own filters, sorts and grouping, so one tasks database can feed a board for the team and a filtered list for each person. Any database can be turned into a task database, which requires status, assignee and due date properties. Tasks assigned to you then appear in My tasks on your Home page.

Task databases can also run sprints. Turning sprints on creates a Sprint board with Current Sprint, Sprint planning and Backlog views, plus a Sprints database. Sprints last one to eight weeks, and you can set them to complete and roll over automatically.

For larger tasks, sub-items break work into smaller pieces. Dependencies link tasks in sequence, with three date-shifting options: shift only when dates overlap, shift and keep the gap between items, or never shift automatically. The pricing page lists subtasks and dependencies on every plan, including Free.

Docs and wikis next to the work

Because every task is a page, the brief, the meeting notes and the spec can sit inside the task itself. Notion's Projects page describes keeping PRDs alongside sprint plans, and says wikis and docs are included at no extra cost.

Teamspaces group pages by team. Open and closed teamspaces are on every plan. Private teamspaces, which nobody outside the member list can see or discover, start on Business.

Automation and integrations

Database automations combine a trigger (a page is added, a property is edited, or a recurring schedule) with actions such as editing properties, adding pages to another database, sending a Notion notification, sending email from a connected Gmail account, sending a webhook or posting to Slack. The help center notes two limits worth knowing: automations cannot trigger other automations, and guests cannot create them.

On Free, the pricing page lists automations as basic, with buttons only. Custom database automations start on Plus.

Connections also depend on the plan. Plus includes basic connections to tools such as Slack and Google Drive. Business adds premium connections to GitHub, Asana and more. The pricing page also lists a public API and webhooks on every plan, and, from Business, 1-way database syncs that bring Jira, GitHub and Asana data into Notion as a database.

How Notion AI is sold

Notion describes its AI separately from the core plans. Free and Plus include only a limited trial of Notion Agent (chat, generate, autofill, translate), AI Meeting Notes and Research mode. Business includes Notion Agent, AI Meeting Notes and Enterprise Search, which the pricing page marks as Beta. Enterprise adds zero data retention with Notion's LLM providers.

Custom Agents, which handle repetitive tasks on their own, and Workers (Beta), which run custom code, are on Business and Enterprise and run on Notion credits bought separately. If your team plans to rely on agents, budget for credits as well as seats.

Reporting and planning limits

Charts are the main reporting tool. Free allows one chart and paid plans allow unlimited charts. Dashboards that bring charts, tables and lists into one view start on Business. The Projects page also mentions a progress bar for tracking a project toward launch.

Notion calls its schedule layout Timeline, not Gantt, and we did not find native time tracking or workload views on the pages we checked. If you need resource capacity planning or tracked hours, plan to add another tool.

Plans and what needs a paid tier

We do not publish prices because they change. Check Notion's pricing page for current numbers. The capability split we found on 19 October 2026:

  • Free: unlimited pages and blocks for one person but a limited number of blocks once two or more members share the workspace, file uploads up to 5 MB, 7 days of page history, up to 10 guests, one chart, basic forms, databases with subtasks and dependencies, and a trial of Notion AI.
  • Plus: unlimited blocks for teams, unlimited file uploads (about 5 GB maximum per file), 30 days of page history, unlimited guests and charts, custom forms, custom database automations and basic connections.
  • Business: Notion Agent, AI Meeting Notes, SAML SSO, private teamspaces, granular database permissions that limit a collaborator to rows assigned to them, forms with conditional logic, premium connections and 90 days of page history.
  • Enterprise: SCIM user provisioning, advanced security controls, audit log, zero data retention with LLM providers, a customer success manager and unlimited page history.

Who Notion fits

Notion suits teams whose projects are document-heavy: product specs, content plans, research or internal programs where the writing matters as much as the task list. It also suits teams that want one place for their wiki and their trackers, and are willing to design their own databases.

Small teams can go a long way on Plus, which removes the shared block limit and adds custom automations.

Who should look elsewhere

  • If you need a Gantt chart, workload planning or native time tracking, compare dedicated project tools and check that their own documentation lists those features.
  • If nobody on the team has time to design databases and views, a tool with a fixed structure of projects and tasks may be quicker to roll out.
  • If you are a software team that wants issue status to update automatically from pull requests, look at an issue tracker such as Linear or Jira.

How to trial Notion

Start with one real project. Create a tasks database, turn it into a task database, and add a Board view for the team and a filtered List view for each person. Turn on dependencies and set a date-shifting rule before you link tasks.

Keep in mind that a Free workspace with two or more members has a limited number of blocks, so a team trial can reach that limit. If you want to test custom automations, they need Plus. Use the AI trial to judge whether Business-level AI features would change how your team works.

Common questions

Can Notion be used as a project management tool?

Yes. Notion's Projects page describes databases with tasks, sub-tasks, status, assignees, due dates, dependencies and views such as Board, Timeline and Calendar. Task databases can also run sprints with a Sprint board and backlog.

Does Notion have a Gantt chart?

Notion's database layouts include Timeline, which plots items across dates, and dependencies between tasks. Notion does not call any of its views a Gantt chart on the pages we checked.

Is Notion AI included in every plan?

No. Free and Plus include a limited trial of Notion AI. Business includes Notion Agent, AI Meeting Notes and Enterprise Search. Custom Agents and Workers (Beta) are on Business and Enterprise and run on Notion credits bought separately.

Does Notion's Free plan include automations?

Only in a basic form. Notion's pricing page lists Free automations as buttons only, and custom database automations start on the Plus plan. The help center also mentions Slack notification automations for Free users, so check the current limits in your workspace.

Can a team use Notion for free?

Yes, with limits. A Free workspace with two or more members can add only a limited number of blocks, uploads are capped at 5 MB per file, and up to 10 guests are allowed.
