ClickUp review: who it suits and what to check
ClickUp puts tasks, docs, chat and many project views in one workspace. This guide explains how it is organized, what each plan unlocks and where teams run into limits.

What ClickUp is
ClickUp is a work management app that combines tasks, docs, chat, whiteboards, forms and dashboards in one Workspace. Instead of choosing between a list tool and a timeline tool, you store work once and look at it through different views.
That breadth is the thing to plan for. ClickUp gives you many settings and many ways to structure the same project. Decide your structure before you invite the team; changing it after people have built their own setups is more work.

How work is organized
ClickUp uses a fixed hierarchy. Your Workspace contains Spaces. A Space can hold Folders, which are an optional layer, and Lists. Lists contain the tasks that belong to the same project or goal. ClickUp's help center notes that a List is different from a List view, and that you can create a List view at any level of the hierarchy.
One workable setup is one Space per department or client group, one Folder per project, and Lists for phases or workstreams. Plan limits apply here: the pricing page caps Spaces at 5 on the Free Forever plan and sets maximum counts for Lists and Folders per Space on every plan.
On top of that hierarchy you add views. ClickUp's views page names List, Board, Calendar, Table, Timeline, Workload, Box, Activity, Mind Map, Map, Doc, Chat, Whiteboard and Form, and Gantt has its own feature page. A few that matter for project teams:
- Board view groups tasks into columns, for example by status, for Kanban-style work.
- Gantt view shows tasks on a time axis with dependencies. ClickUp documents finish-to-start, start-to-start, finish-to-finish and start-to-finish links, automatic rescheduling of dependent tasks, a critical path and, on paid plans, saved baselines for planned versus actual comparison.
- Workload view shows each person's assigned capacity so you can see who is over or under.
- Table view works like a spreadsheet for structured data such as budgets or inventories.
Collaboration
Docs live next to tasks, and the views page says you can turn text in a Doc into trackable tasks. ClickUp also includes Chat for team messaging, assigned comments for action items, Whiteboards for planning sessions and Forms that create tasks from submissions.
Guests are handled differently by plan. On Free Forever, ClickUp states that guests have full create and edit permissions that cannot be changed. Paid plans add permission controls and a set number of guest seats that grows with the number of paid users. Read the guest rules on the pricing page if you plan to invite clients or contractors.
Automation and integrations
ClickUp automations follow a trigger, condition and action pattern. The automations page describes a library of prebuilt templates, an AI builder that drafts an automation from a plain-language description, dynamic assignees, email actions and webhooks.
Limits depend on the plan. The pricing comparison lists 5 active rules and 100 automation executions on Free Forever, 1,000 executions on Unlimited, 5,000 on Business and 250,000 on Enterprise. Webhooks and automation integrations with other apps start on Business.
For other tools, the pricing page lists integrations such as Slack, HubSpot, Google Drive, Zapier, Make, Google Calendar, Dropbox, Box and OneDrive, with unlimited integrations from the Unlimited plan.
Time tracking and reporting
ClickUp has native time tracking. Its feature page describes starting a timer from any task or the global toolbar, adding manual entries for offline work, flagging time as billable and filtering time reports by person, project, date range or billable status. Contributors can submit weekly timesheets for a manager to approve or reject.
The pricing page lists native time tracking from Unlimited, with a trial on Free Forever. Timesheets are a trial on Free Forever and Unlimited. Billable reports and some time tracking cards appear on Business and above.
Dashboards turn task data into charts and lists. They are a trial on Free Forever and Unlimited and unlimited from Business.
Plans and what needs a paid tier
We do not publish prices because they change. Use the vendor's pricing page for current numbers. What matters for planning is which capabilities sit on which plan:
- Free Forever: unlimited tasks and free plan members, 60MB of storage, collaborative Docs, Kanban boards, Calendar view and one Form. Gantt, Timeline, dashboards and time tracking are trial uses.
- Unlimited: unlimited Gantt charts, storage, integrations and custom fields, native time tracking, guests with permission controls, resource management and Chat.
- Business: unlimited dashboards and Timeline views, Mind Maps, webhooks and automation integrations, more automation executions and Google sign-in.
- Enterprise: SAML single sign-on, SCIM provisioning, audit logs, data residency options and the highest automation allowance.
Two billing rules are easy to miss. First, ClickUp's FAQ says an upgrade covers the whole Workspace, so you cannot upgrade one person. Second, "uses" on trial features are cumulative and do not reset. When you hit the limit you keep your data but cannot create or edit with that feature.
AI is priced separately. Every plan lists limited AI usage, and wider use requires one of ClickUp's AI plans, billed per user.
Who ClickUp fits
ClickUp suits teams that want one place for tasks, docs and schedules and are willing to set it up deliberately. It fits well when different roles need different views of the same work, for example a project lead who plans in Gantt while the team works from a Board. Teams that bill time to clients can track hours without a separate app from the Unlimited plan upward.
Who should look elsewhere
- If you want a simple personal to-do list, ClickUp's hierarchy and settings are more than you need. A dedicated to-do app will be quicker to learn.
- If your team depends heavily on agile tooling tied to software development, compare Jira, which is built around sprints, backlogs and developer integrations.
- If you need a timeline on a tight budget, note that Timeline view is unlimited only from Business.
- If you rely on AI features, budget for an AI plan, since the base plans include only limited AI usage.
- If several people will each configure their own corner of the workspace, agree on shared conventions first. ClickUp's flexibility allows inconsistent setups unless someone owns the structure.
How to trial ClickUp
Start on Free Forever with one real project rather than a demo. Before you invite the team, decide which Space and Folder pattern you will use and which statuses tasks move through.
Then check the specific features you will rely on. Gantt, Timeline, dashboards and time tracking are limited trials on the free plan, so test them deliberately instead of using up the allowance by accident. ClickUp's Gantt page says dependencies and Critical Path work without upgrading, but baselines need a paid plan, so test baselines during the first month of a paid plan instead. ClickUp is available on the web and has desktop apps for Windows, Mac and Linux, mobile apps for iOS and Android, a Chrome extension and an Outlook extension.

Common questions
Is ClickUp free?
Yes. ClickUp has a Free Forever plan with unlimited tasks and unlimited free plan members. Storage is capped at 60MB, and features such as Gantt, Timeline and dashboards are offered as limited trial uses on that plan.
Does ClickUp have Gantt charts?
Yes. ClickUp's Gantt view supports four dependency types, automatic rescheduling of dependent tasks, a critical path and, on paid plans, baselines. The pricing page lists Gantt as a trial on Free Forever and unlimited from the Unlimited plan.
Does ClickUp include time tracking?
Native time tracking is listed from the Unlimited plan, with a trial on Free Forever. ClickUp's time tracking page describes a timer on any task, manual entries, billable flags and timesheet approvals.
Can one person upgrade without paying for the whole team?
No. ClickUp's pricing FAQ says an upgrade applies to the entire Workspace, meaning all members. Each Workspace is billed separately.
Is ClickUp AI included in the plan price?
Not fully. All plans include limited AI usage, and ClickUp sells separate AI plans per user per month for wider use. Check the AI section of the pricing page before you budget.
