What Teamwork.com is
Teamwork.com says it is designed with client work in mind, and names agencies, consultancies, professional services and marketing teams among the teams that get the most out of it. Alongside tasks and projects, it covers time tracking, budgets, invoicing and resource planning.
That breadth is spread across five plans: Free, Basics, Accelerate, Optimize and Enterprise. The financial and resourcing features mostly start on Accelerate or Optimize, so read the plan comparison before you commit.
How work is organized
Every plan, including Free, lists Gantt, Table, List and Board views, plus sub-tasks, tags, dependencies, milestones and custom fields. Paid plans add Gantt filtering and portfolio management from Basics, critical paths from Accelerate, and formula fields from Optimize.
Work can be organized by client on every plan. The clients view lists each client with an owner and tags, and rolls up totals across that client's projects, such as the split between billable and non-billable time. On plans that include budgets (Accelerate and above), it also shows how much of each budget has been used.
Free includes 2 project templates. Paid plans list unlimited project templates, and task list templates are on every plan.
Working with clients
Inviting client users into projects starts on Basics; the pricing table does not include it on Free. Teamwork.com's client management page says you can add unlimited clients to projects at no extra cost and control what they see. Clients can add comments, tasks and milestones and log time.
Proofs handle file approval, with a central list of proofs and a log of internal and client feedback. The pricing table allows 5 proofs a month on Free, 20 on Basics and unlimited from Accelerate. Sharing project statuses with clients and real-time project chat start on Basics.
Time tracking, budgets and invoicing
Teamwork.com says time tracking is built in on every plan, with on-the-spot timers. Billable versus non-billable time and time estimates are on all plans. Timesheets and reminders to log time start on Accelerate, and reviewing and approving timesheets starts on Optimize.
The budgeting page describes three budget types: fixed fee, time and materials, and retainers, with alerts when spend reaches a threshold. By plan:
- Accelerate: time budgets, unlimited time retainers, billable user rates, and basic invoices built from logged time.
- Optimize: cost and expense budgets, fixed-fee budgets, time and cost retainers, role-based and client rates, quotes, multiple currencies, and invoices with margin, tax and discounts.
Resource and workload planning
Workload planning starts on Accelerate, which lists planning team workloads, planning by role, utilization reports and AI utilization insights. Optimize adds planning based on team availability, planning by skill, placeholders to hold future capacity, and tentative projects, including projects created from a CRM pipeline.
If you mainly need to see who is overloaded this week, Accelerate covers that. If you plan staffing for work you have not yet won, the comparison points to Optimize.
Automation, integrations and AI
Automations are capped by plan: 100 on Free, 5,000 on Basics, 20,000 on Accelerate and 100,000 on Optimize and Enterprise. Intake forms for work requests start on Basics, with conditional logic on Accelerate and above.
Slack, Microsoft Teams, Zapier and Harvest connect on every plan. Google Drive, Dropbox and webhooks start on Basics; HubSpot, QuickBooks and Xero on Accelerate; Salesforce and NetSuite on Optimize. API access is on every plan, with higher request limits on Optimize and Enterprise.
Every plan lists connecting your own AI model through Teamwork.com's MCP server. AI summaries, the AI project wizard and conversational queries of task lists start on Basics. AI utilization insights start on Accelerate, and AI profitability forecasting and AI-driven custom formulas start on Optimize.
Plans and what needs a paid tier
We do not publish prices because they change. Check Teamwork.com's pricing page for current numbers. Paid plans are priced per user. Optimize and Enterprise show "Let's talk" and a demo booking instead of a price.
- Free: up to 5 projects, a maximum of 5 users and 100 MB of file storage.
- Basics: up to 300 projects, a minimum of 3 users, client users, more Proofs (20 a month, up from 5 on Free) and project portfolio management.
- Accelerate: up to 600 projects, a minimum of 5 users, timesheets, time budgets, basic invoicing and workload planning.
- Optimize: unlimited projects, quotes, cost and fixed-fee budgets, profit tracking by project or client, and skill-based resourcing.
- Enterprise: adds single sign-on, advanced access policies, dedicated infrastructure and a dedicated customer success manager.
Who Teamwork.com fits
Teamwork.com suits agencies and service teams that bill clients for time and want projects, timesheets, budgets and invoices in one tool. It also suits teams that want clients inside projects, with comments, proofs and status updates, rather than over email.
Who should look elsewhere
- If you only need internal task tracking with no billing, much of what you pay for on higher plans may go unused. Compare general task and work management tools.
- If you need invoicing or timesheet approval on a lower plan, note that basic invoices start on Accelerate and timesheet approval on Optimize.
- If your team is very small, check the user minimums: 3 on Basics and 5 on Accelerate.
How to trial Teamwork.com
Basics and Accelerate offer a 14-day free trial with no credit card required. Optimize and Enterprise start with a demo. Teamwork.com says you can import projects from Asana, Basecamp, ClickUp, Monday, Trello and Wrike.
Trial Accelerate if billing matters to you. Load one real client project, log a week of time against it, set a time budget, and build a draft invoice from the logged hours. If you need quotes, expense budgets or timesheet approval, ask for an Optimize demo.
