FREE TEMPLATE

Free to-do list template for Excel and Google Sheets

A simple personal to-do list: one row per task, a due date when there is one, a priority and an area such as work or home. Mark a task done and it greys out and is struck through.

The .xlsx file opens in Microsoft Excel, LibreOffice Calc and Google Sheets (File, then Import). No macros.

What is in the template

  • Done, task, due, priority, area and notes columns for 80 tasks.
  • A Yes or No drop-down in the Done column; done tasks are greyed and struck through.
  • A second sheet for someday ideas, so the main list stays short.
  • Four example tasks you can overwrite.

How to use it

  1. Write tasks as actions that start with a verb, such as Call, Draft or Book.
  2. Add a due date only when something really happens on that date.
  3. Sort by due date, then by priority, when you plan your day.
  4. Once a week, clear done tasks and move anything you will not do soon to the Someday sheet.

When to move to an app

A spreadsheet list works when you plan at a desk. If you need to capture tasks on your phone, get reminders or repeat tasks on a schedule, a to-do app does those jobs better.

Our to-do list comparison covers apps for personal and shared lists, including Todoist and TickTick.

Common questions

Can I print this list?

Yes. The columns fit a landscape page. Set the print area to the rows you use before printing.

How do I see only open tasks?

Turn on a filter for the header row and untick Yes in the Done column. That keeps rows marked No and rows left blank.

Does it work in Google Sheets?

Yes. Import the .xlsx file through File, then Import. The drop-downs and the formatting for done tasks carry over.
